{"id":2921,"date":"2016-06-04T17:15:04","date_gmt":"2016-06-04T17:15:04","guid":{"rendered":"http:\/\/sdrr.co.uk\/?p=2921"},"modified":"2016-06-04T17:15:04","modified_gmt":"2016-06-04T17:15:04","slug":"minutes-of-meeting-held-on-25th-may-2016","status":"publish","type":"post","link":"https:\/\/sdrr.co.uk\/?p=2921","title":{"rendered":"MINUTES OF MEETING HELD ON 25TH MAY 2016"},"content":{"rendered":"<p>\t\t\t\t<strong>Present:-<\/strong> I Moore; M Moore; A Hawtin; R Barraclough; K Knight.<!--more--><br \/>\n&nbsp;<\/p>\n<ol>\n<ol>\n<li><strong>Apologies<\/strong>:- non required.<\/li>\n<li><strong>Minutes of previous meeting:-<\/strong> [13<sup>th<\/sup> April] \u2013 approved.<\/li>\n<\/ol>\n<\/ol>\n<ul>\n<li><b><strong>Run in the Forest Race 2017.<\/strong><\/b><\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<ul>\n<li>Question \u2013 do we do it again after this years event \u2013 Five Yeses!<\/li>\n<li>Date? As the London Marathon is on 23<sup>rd<\/sup> April in 2017, we`ll \u201cpencil in\u201d 9<sup>th<\/sup> April 2017 for the race. Inge will confirm this action to Conkers people on 26<sup>th<\/sup> May.<\/li>\n<li>Points from Inge`s recent discussion with Adrian Middleton:-<\/li>\n<li>We`ll have a marshal at the Discovery Site<\/li>\n<li>The \u201cFun Run\u201d will be a separate race with its own entry form different from the main race form.<\/li>\n<li>If the \u201cfun Run\u201d is to cater for over 100 runners again we will need a funnel manager plus a time keeper and number callers.<\/li>\n<li>We will look at doing \u201cfun Run\u201d entries on line in 2017 as well as entries on the day.<\/li>\n<li>We are looking to move the Fun Run start time to 10.00am &amp; the Main race start time to 10.45am<\/li>\n<li>We will make sure that the different start locations are clearly \u201cNoticed\u201d.<\/li>\n<li>We are to check with BDL that our fun run will be treated as a \u201cJunior League\u201d race or not?<\/li>\n<li>Kelly volunteered to \u201cMarket\u201d our race \u2013 ie Advertising leaflets &amp; entry forms to be out earlier rather than later!<\/li>\n<li>It will be the same course as in 2016.<\/li>\n<li>Entry fee to be as in 2016 together with \u201cspot Prizes\u201d still being offered. Spot prizes no longer to be given out to SDRR runners!<\/li>\n<li>Leics licence for the race covered 300 runners in 2016. Should we go for 400 in 2017? Agreed a \u201cyes\u201d as this should be allowed as we had a good report from the race adjudicator for the 2016 event.<\/li>\n<li>Maybe we will need more 1<sup>st<\/sup> aid cover?<\/li>\n<li>Adrian had commented that ours is not a \u201cmeasured\u201d course \u2013 pretty near though.Will this be okay reference our \u201cstandard times\u201d records at SDRR? If we need an officially measured course it can take up to 6 months to be done. Dave Mann is the contact about it being done \u2013 can this be done on a \u201cTrail Course \u201csuch as our race?<\/li>\n<li>We are to inform the \u201ccouncil\u201d &amp; \u201cRun Britain\u201d so we do not clash with a cycle race or any other event on the Conkers trails.<\/li>\n<li>To consider Funding to get more \u201cOfficial Signing\u201d for the race \u2013 eg for \u201cEntry Desks\u201d locations, refreshment areas, \u201cOn the Day\u201d &amp; \u201cpre registered\u201d number collections?<\/li>\n<\/ul>\n<ul>\n<li><b><strong>Washlands Relays.<\/strong><\/b><\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<ol>\n<ul>\n<li>Andy has SDRR runners names. We need details of what their ages will be \u201con the day of the race\u201d. Clarification of prize categories to be sorted. Kelly &amp; Andy will sort out final teams. Malcolm will sort the payment for the team`s entries.<\/li>\n<li>Roger will be at the normal SDRR Greenbank location on that Wednesday to organise a run for any members who turn out there instead of at the washlands.<\/li>\n<\/ul>\n<\/ol>\n<p>&nbsp;<\/p>\n<ol>\n<li><strong>Prediction Runs<\/strong>.<\/li>\n<\/ol>\n<ul>\n<li>All is sorted! Bottles of wine for prizes \u2013 \u201cbulk purchase\u201d organisation?<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<ul>\n<li><b><strong>Presentation Night<\/strong><\/b><\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<ul>\n<li>Question:- Conkers okay again? Same format?\u00a0 Agreed. To try for 14<sup>th<\/sup> January 2017 in preference with the 21<sup>st<\/sup> January as a secondary date if Conkers cannot accommodate on the preferential date. Shall we subsidise again \u2013 Yes.<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<ul>\n<li><b><strong>Financial update<\/strong><\/b><\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<ul>\n<li>Not many membership subscriptions still outstanding. Essentially around \u00a33,000 in our funds to date so all looks fine.<\/li>\n<li>We have enough to subsidise events such as training weekends, \u201cAway team races\u201d etc as appropriate.<\/li>\n<li>Membership is holding at around 120 people.<\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<ul>\n<li><b><strong>AOB<\/strong><\/b><\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<ul>\n<li>Discussion held reference James change from SDRR to Hatton Darts club. We have James resignation letter to SDRR but no paperwork from Hatton as yet.UK Athletics have to be officially advised \u2013 as to whether we object to the changeover or not &amp; does he owe us any money etc. Is he cleared to run for Hatton to count in team races yet? Inge will check the situation with Stan from Hatton Darts.<\/li>\n<li>Can we cater for even more members at our Club? We have no real need to advertise \u2013 just keep on with accepting people for a trial who turn up from \u201cword of mouth\u201d in the sporting fraternity?<\/li>\n<li>A marshalling at Conkers observation reference the 2016 races \u2013 we had one marshal who sent \u201cfun Runners\u201d to the wrong start \u2013 we need to be accurate in our advice \u2013 it is now \u201csorted\u201d &amp; Inge will consult again with the marshal concerned ref the 2017 organisation on the day.<\/li>\n<\/ul>\n<p>&nbsp;<br \/>\nThere being no further business, the meeting closed at 9.25pm<br \/>\n&nbsp;<br \/>\n<strong><u>THE DATE OF THE NEXT MEETING IS PUT FOR WEDNESDAY 7<sup>TH<\/sup> SEPTEMBER 2016 AT 8.30PM AT THE SIR NIGEL GRESLEY PUBLIC HOUSE.
